  1. Collect information

    Clarify contacts, availability and release arrangements. Request missing documents and follow up on their availability.

  2. Prepare internally

    Bring together document status, original-document location, pickup window, tasks and blockers. Follow-up dates and internal notes support the work.

  3. Publish deliberately

    The operator publishes a shared update with a version, author and timestamp. Internal notes and drafts are not shared.

  4. Coordinate pickup together

    The dispatcher, appointed funeral provider and assigned driver see the published instructions in the case. Participants assigned later receive the current update.

Document coordination with clear responsibility

The operator coordinates document procurement and pickup preparation. They clarify contacts and release arrangements, follow up on missing documents and keep a clear record of outstanding tasks and blockers. By publishing the results, they create a shared information update for the dispatcher, funeral provider and driver.

More than document storage

Each document is recorded as missing, requested, promised or confirmed available. The location of originals and the release contact are documented. Access, time windows, blockers and next steps belong to the same preparation.

One published update for execution

Saving a draft does not change information already published. Interim updates may also be published. “Pickup prepared” requires clarified release arrangements, confirmed document availability, completed tasks and no unresolved blockers.

Availability, validation and handover remain distinct

“Confirmed available” describes document procurement. It does not confirm formal document validation, an uploaded scan or actual handover of an original. Publishing does not change the transport execution status; handover is documented separately in its designated workflow.
